The Hustle: The "Zombie Task" Exterminator
The Goal: Automatically keep your project management board (like Trello or Asana) clean and focused by identifying and archiving stale, forgotten tasks.
The Tools:
* Project Management: Trello, Asana, Jira, etc.
* Automation: Zapier or Make.com
* Communication: Slack or Email
Step 1: The Project Board (The Input)
Your project management tool is the source of truth. The key is to have tasks with clear owners and last-updated timestamps. This workflow will focus on boards or columns that represent active work, such as "To Do" and "In Progress." Any task in these columns is considered fair game for our zombie hunt.
Step 2: The Weekly Scan (The Trigger)
Set up a scheduled trigger in your automation tool (Zapier/Make.com). This is the "heartbeat" of your system. Configure it to run once a week, for example, every Monday at 9 AM. This trigger will initiate a process to search for all tasks in your specified columns ("To Do," "In Progress").
Step 3: The AI Exterminator (The AI/Logic)
This is where the magic happens. The automation will loop through every task found in Step 2 and apply the following logic:
1. Check the Date: Calculate the time since the task was last updated.
2. Identify Zombies: If a task hasn't been touched in a set period (e.g., 21 days), it's flagged as a "zombie."
3. Send a Warning: For each zombie task, the automation sends a direct message to the task owner via Slack or email. The message should be clear and create a forcing function: "Hey [Owner Name], the task '[Task Title]' hasn't been updated in 21 days. Is this still a priority? If I don't hear back, I will automatically archive it in 48 hours to clean up our board."
Step 4: The Cleanup (The Output)
The workflow has two potential outputs. If the owner responds or updates the task, the process stops for that task. If 48 hours pass with no response or update, a second part of the automation triggers:
1. Archive the Task: The automation changes the task's status to "Archived."
2. Summarize for Management: At the end of the run, it compiles a list of all archived tasks and sends a summary digest to the project manager. This keeps everyone in the loop without creating manual work.
